During a recruitment process at Plesner, we manage your personal data. Plesner acts as the data controller for the personal information collected and processed in relation to your application.

During the recruitment process we use a recruitment system to streamline recruitment for both you and Plesner. Through this system, Plesner receives personal data from applicants and processes it to evaluate the applicant's skills and qualifications for the relevant position.

Below, we outline the purposes and legal bases for processing your personal data, with reference to the General Data Protection Regulation (GDPR) and the Danish Data Protection Act (DPA).

1. The Processing of Personal Data

The personal data we manage will include the information you submit (or information obtained through a reference), such as your application, resume, references, academic transcripts, and any additional documents you voluntarily choose to submit. We do not manage your sensitive personal data. We kindly ask you to redact any CPR numbers on academic transcripts, etc., as we do not need your CPR number.

We manage your personal data based on the rule of balancing of interests (GDPR Art. 6.1.f), with the legitimate interest of processing your application and retaining your personal data for a potential future recruitment process.

During the recruitment process, you will be requested to complete tests, which will be a part of our assessment of your application. The legal basis for this is your consent (GDPR Art. 6.1.a). Additionally you will be asked to provide your criminal record during the recruitment process. The legal basis for this is your consent (DPA §8, Subsection 3, cf. GDPR Art. 10).

The legal basis for processing your personal data is your request for us to manage your application and resume prior to entering into an employment contract (GDPR Art. 6.1.b).

2. Storage and Deletion

We retain your information until the specific position has been filled. If you are offered a position at Plesner, your information will be transferred to your personnel file and will follow Plesner's retention policy for this.

If you are not offered a position, we will retain your information for up to 6 months after our rejection based on a legitimate interest (GDPR Art. 6.1.f), after which it will be deleted.

If you apply unsolicited, you will receive an email requesting your consent to retain your application for 6 months if we consider your application to be relevant for a later position.

3. Your Rights

You have the right to contact us to request access to, correction, or deletion of any personal data we manage about you.

You can withdraw your consent at any time without affecting the legality of the processing prior to the withdrawal. Finally, you have the right to request that the information you have provided be received in a structured, commonly used, and machine-readable format (data portability).

Please note that there may be conditions or limitations to these rights.

4. Right to Complain

You have the right to object to the processing or request a restriction of the processing and to lodge a complaint with the Danish Data Protection Agency.
